• Stakeholder Roles

    Planning, operating, and evaluating learning spaces is complex. The roadmap provides an overview of the process in terms of what activities might be involved, who might be involved in them, what deliverables might be produced, and what decisions need to be made. This page complements that information by providing an overview of the groups involved, their goals, and their role(s) in the process.

    Stakeholder groups include institutional project owners, the design / programming team, advisory groups / committees, groups representing future users / occupants, standing committees (e.g.: Faculty Senate), subject-matter experts on campus (e.g.: Center for Teaching and Learning), as well as external groups such as government agencies. For each group, it’s critical to understand and align their goals, communicate in an ongoing way, and clearly communicate their role in the process, ranging from providing input to reviewing designs to making decisions.

    Project Owners
    Initiate, manage, and deliver the project, as well as staff and operate the project after completion.

    Stakeholder Goal(s) Actions
    Project Leadership (project sponsor) Ensure the project outcomes align with and/or advance the university mission, plans, and operations. Provide oversight; key directions; and input on programming and design. Approve overall schedule and budget, and staffing and resources to operate project after completion. May address issues and changes throughout construction phase.
    Steering or Building Committee (includes leadership from university administration, facility planning, library and student services, and faculty) Through oversight and management, enable project stakeholders to carry out their roles and responsibilities. Provide ongoing input and direction while serving as the central aggregator of information and input on-campus. Connect project stakeholders, and act as project representative to other groups on campus and externally. Guide staffing and resourcing decisions.
    Campus Facilities Planning, typically also Project Management Deliver a timely and on-budget project. Manage space issues, such as planning requirements, site / context considerations, and operational issues. Set project budget & schedule; select design team and/or consultants; manage design reviews; and oversee bidding, design approval process, construction administration, and project closeout.
    Facilities Operations & Maintenance Contribute to an optimally operating learning space. Operate general campus services (e.g.: café, mail) and maintain building systems and conditions.
    Campus Architect Ensure design fits with campus vision, plans, and standards. Advise on and review designs for issues such as site / context, alignment with other plans and initiatives, and compliance with campus guidelines and standards. May be involved in designer selection and selection/approval of furniture.

    Design / Programming Team
    Deliver an integrated space, technology, and service design plan that best aligns with project goals, schedule, budget, and design requirements.

    Stakeholder Goal(s) Actions
    Design Team Produce design solutions that meet project goals and vision, and space, technology, and service needs. Translate input and research into programming, design concepts, and plans. Detail building systems (structural, mechanical, electrical, plumbing, fire protection), floorplans, and interiors.
    Planning Consultants Engage and guide stakeholders through a valuable planning process. Provide planning and strategy information and expert guidance to facilitate planning, including space programming, budgeting / cost estimating, operational planning, service design, branding, engagement / facilitating, and communications.
    Technical Consultants Enable excellence in technical areas such as ambient conditions, sustainability, and usability. Provide technical information and expert guidance in specific areas such as acoustics, lighting, audiovisual issues, wayfinding, energy efficiency, sustainability, storage, and accessibility.
    Technology Team: Campus IT, Unit IT, AV / IT Consultants, AV Integrators / Installers, Manufacturers / Equipment Providers Deliver technology plans and specifications. See Technology Partners for detailed description and actions.

    User Groups
    Provide user perspectives when setting project goals, requirements, and priorities. Establish a community around the project to gain support. Help evaluate the project in future assessment activities.

    Advisory Committee Provide input from additional perspectives. Provide input from an outside perspective to ensure project develops based on best practices and in alignment with larger plans and institutional aspirations.
    Student Government & Faculty Senate Ensure design supports the diversity of user needs. Provide input from the point of view of building users and enable alignment of project with larger campus needs and goals.
    Student and Faculty Users Support development of a learning space that supports their needs. Provide input from personal perspectives.

    Specialists
    Provide input and information on specific needs and aspirations, and apply campus-specific lessons learned, best practices, and technical expertise to space, service, and technology planning.

    Stakeholder Goal(s) Actions
    Learning Technologies Group Advise on and support the use of technology in learning and teaching across the institution. Provide expertise on pedagogical implications of a project’s design and objectives. Advise on tie-ins with leading edge faculty and relevant online platforms, and on emerging technologies being used in courses.
    Center for Teaching and Learning Improve teaching across the institution by providing and/or connecting faculty to resources and training. Provide input on integrating academic services for faculty and students into the learning space, including space, staffing, and technology needs.
    Writing/Tutorial Center Support students’ academic success through resources, tutoring, and other support. Provide input on integrating academic services for faculty and students into the learning space, including space, staffing, and technology needs.
    Central Computing CEnsure technology plans align with and can be supported by central computing and networks. Advise on technology plans. Maintain central computing and network systems in the learning space.
    Office of Institutional Analysis/Assessment Enable stakeholders to conduct, analyze, and compare research. Assist with research procedures, such as gaining IRB approval for user studies, as well as data analysis.
